Digital Forms
Moving to e-forms is great for your business and for your customers. It means that you save on paper and printing costs, and the customer can complete their details and sign their documents on a screen rather than on paper. Many form systems come with a master download option which is great for home boarders as it means that you have all of your registration documents in one place.
Digital Form Support is offered at £17 per hour (pro-rated).
Digital forms work like a website, in that they sit on the internet with a host provider. The host stores the responses for you and tells you that someone has completed a form. Hosted services come with a fee, but there are a few that offer a free level before you need to pay.
Having looked at a few systems, I have settled on Zoho Forms which has an annual fee of you want more than three form templates, but there are many others that you can take a look at including Google Forms, and Jot Form to name a few.
You need to have your registration form questions and your terms & conditions ready before you can create a digital form set so that you can copy and paste (or upload) the information to the digital system.
Zoho Forms allows you to have three form templates that customers can sign, and you can have as many returns as you wish. They provide a small amount of storage for free for those who don’t want to print them off on receipt. Zoho is tricky to set up but looks good on the screen and is easy to use once up and running. Zoho is not expensive if you want to add further customisation or additional forms. https://www.zoho.com/forms/
JotForm looks nice on the screen but limits you to 10 signed form returns a month, so not great if you are just starting out and are growing your business. The monthly fees are high if you need more returns than are allowed on the free level. https://www.jotform.com/
Google Forms does not allow customers to sign the form, so doesn’t work for me as a business owner. https://www.google.com/forms/about/
Once you have set up an account, you recreate your paper form on the system, and as a second task you can set up your terms and conditions too. Now, when you want to send a new client your forms, you send them a link to the Registration Form and another link to your Terms and Conditions. They complete them online and you can either leave them on the system or print them off for your files as you prefer.
If you would like to move to e-forms but are not comfortable setting them up, I can create them for you once you have opened an account with your chosen form provider. If you would like more information on e-forms, or you would like me to create your forms in your chosen system, drop me a message to discuss.
